There are several different ways you can track your phone calls in Patient Prism.
All of these methods are described in detail here:
๐ How to Decide on a Call Tracking Method
Start by Tracking your Website and Google My Business (GMB)
We recommend starting with your Website and Google My Business listing.
These methods require no changes with your phone carrier and can be set up in under a day.
How it Works ๐
The diagrams below illustrate how your call flow changes once Patient Prism tracking numbers are introduced:
Before Tracking Numbers:
Callers dial your main number directly and go through your phone system.
After Tracking Numbers:
Callers dial a Patient Prism number that then routes to your main number.
This is what enables reporting and call insights.
Overview:
1. Create a Call Plan per location that will be forwarded to the main number.
2. Create a static number for each location's Google Business Profile listing.
3. Create a dynamic number per main office number and add the code snippet to each website.
4. Create other numbers for other sources you want to track (Social / Google Ads, for example).
5. Set referring sources for these numbers via the trigger system.
Step-by-Step Setup ๐ ๏ธ
1. Create a Call Plan
Set up a call plan for each location to forward calls to your main number.
๐ This guide explains how to create a call plan.
2. Create a Static Number for GMB
Once your call plan is in place, you can set up a static number to track your GMB listing:
๐ This guide explains how to create and assign a static number.
Then follow these steps:
Log into the locationโs Google My Business account.
Click Info in the left-hand menu.
Click the pencil icon next to the phone number.
Click Add Phone Number.
Move the main office number to the โAdditionalโ phone number spot.
Place the tracking number that you created in the โPrimaryโ phone number spot.
Click Apply.
After Google processes the update, your GMB listing will show the Patient Prism tracking number.
3. Create a Dynamic Website Number
To track website calls, set up a dynamic website pool number:
๐ This guide explains how.
Once created, this number dynamically replaces your main number on your site, allowing Patient Prism to capture and analyze website-based calls automatically.
4. Assign Referring Sources for Static Numbers
For static numbers (like GMB), use the Trigger System to set referring sources:
๐ Referring Sources Guide
Dynamic numbers donโt require this โ they automatically capture sources.
If you are running Paid Ads โ Complete Steps 5-7
5. Create a Paid Ads Dynamic Number
If you are running Google/Meta/Bing Ads, create another dynamic website pool number โ one per location โ and name it for Paid Ads. Once the number is created, open it and set the Insertion Option to All Ads
This ensures:
Visitors from Google/Meta/Bing Ads see the correct tracking number.
Visitors from other sources see the general/organic website pool number.
6. Add a Google Ad Extension Number
Set up a static number to use in your Google Ads account as a Call Extension. This will be another static number that can be used as the extension number in your Google Ads.
๐ This guide explains how.
7. Integrate with Google Ads
After all numbers are created, complete the integration with your Google Ads account:
