To start, please first integrate your forms and Patient Prism by following the steps in this article below:
How to Setup the Forms Integration
The second half of that article shows how to ensure the forms are assigned to a location.
For Lead Connect to work, the form will need location assignment, so please make sure your form submissions are assigned to a location using these steps.
Once the form has been integrated and the site URL is added in the Location settings, submit a test form to ensure it shows up in our system assigned to a location:
Now that the forms have been integrated successfully:
- Go to Manage --> Location and select a Location that the forms will be associated with:
- Start by going to Callback Phone Numbers:
The Callback Phone Number is the number that our system will use to dial your team for this location. Once connected, we will play a message containing the info about the form and ask if they would like to connect directly to the form submitter.
The number entered here would have to ring the phones without having to press any keys.
This would usually be your office's main number (as long as this number is not forwarded to Patient Prism or has some phone tree).
** You can configure a number (or extension) in your phone system that directly rings a few trained agents for this purpose.
- After selecting the Callback Phone Number, click the Lead Connect option under it:
This is where you will define the Default Outbound Caller ID, the Timeout, and what happens after hours:
Default Outbound Caller - This will be the number that will show on the form submitter phone when our system dials them after connecting to your team using the Callback Phone Number.
** You can use your own number on the caller ID by verifying the number in our system.
This would allow you to show your main number on the form submitter's phone when they are dialed.
- The last step will be to create a Trigger to tell the system when Lead Connect should occur.
Go to Manage --> Triggers. - Click the +Create button on the top right.
- Select your Company, name the Trigger (Lead Connect, for example), and click Create:
- You have two options to select. Form Analysis Updated or Form Submission Created:
Form Analysis Updated: If you are analyzing your forms and would like only to initiate Lead Connected based on the Classification of the form, you can choose this option.
Form Submission Created: If you are not analyzing your forms, you can pick this option and initiate Lead Connect all the time or based on Form Name, Location or if it is from a Known Contact or not.
For this example, we will create the Trigger under Form Analysis Updated.
- Under Conditions, select + Add Group:
- Since we are analyzing forms and set up the Lead Connect settings under the Tampa location, we are going to set the example conditions to initiate the action when a form is Classified as a New Opportunity for just the Tampa Location:
- Under Actions, click + Add Action and select Lead Connect:
- The Lead Connect feature will now initiate according to the Conditions set in this trigger and will follow the instructions for the location configured in the previous steps.
