There are several different ways you can track your phone calls.
All of the methods are described in detail here:
How to Decide on a Call Tracking Method
We recommend you start by tracking your Website and Google My Business listing.
This requires no phone company changes and can be fully set up within a day.
Video guides on Tracking Number Setup
Summary:
1. Create a Call Plan per location that will be forwarded to the main number.
2. Create a static number for each location's Google Business Profile listing.
3. Create a dynamic number per main office number and add the code snippet to each website.
4. Create other numbers for other sources you want to track (Social / Google Ads, for example).
5. Set referring sources for these numbers via the trigger system.
The first step is to create a call plan per location that will be forwarded to the associated location's main numbers.
This process is explained in this guide.
Now that you have created a call plan, you can create a static number to track Google My Business (GMB) listing calls.
This guide explains how to create a static number to post on the listing.
Once you have created a number to post on the Google Listing, please follow the steps below:
- Log into the location's Google My Business account.
- Click on Info located on the left menu.
- Click on the pencil icon next to the phone number.
- Click Add Phone Number.
- Move the main office phone number that is currently in the primary phone spot to the Additional phone spot.
- Place the tracking number you created in the primary phone number spot.
- Click Apply
Once Google has processed this, the Patient Prism tracking number will appear on the Google My Business listing.
To track the website calls, follow this guide to create a dynamic website pool number:
Once this is done, the pool number will swap out the main number on your website with a Patient Prism pool number, allowing Patient Prism to record/analyze the website calls.
So far, anybody who calls you from your website or GMB listing will have the call and source tracked.
You will also want to use the Trigger System to set referring sources for to your static numbers.
The Dynamic Numbers do not need this because they will capture the sources automatically.

If you are also running Google Ads, we recommend the following steps in addition to the above.
Create ANOTHER dynamic website pool number (to equal two per location), except this time, specify in the name that the number is for Google Ads.
Then, once the number is created, go into the number and set the Insertion Option to Google Ads.
This will make it so that if someone reaches the website via an ad, it will show them a number in the ad pool, and if they reach the site from a non-Google Ad source, they will see the original pool number with its insertion option set to the default All.
Our final number recommendation is to create and use a Google Ad Extension number.
This will be another static number that can be used as the extension number in your Google Ads.
This guide explains how you can use a tracking number in your Google Ads Account as a Call Asset/Extension.
Now that all of those numbers have been created and are in use, we recommend following our Google Ads Integration Guide to integrate Patient Prism with your Google Ads account.
Your numbers in Patient Prism should look similar to this:
